Who We Built This For
TeleCare Health operates a 12-clinic healthcare network handling a high volume of patient appointment calls daily. Front-desk staff were spending the majority of their time on repetitive scheduling calls โ booking, confirming, and rescheduling appointments โ leaving less time for in-person patient care and creating a bottleneck during peak call hours.
What We Set Out to Build
TeleCare Health needed to handle a growing volume of appointment-related phone calls without proportionally growing its call center headcount. The solution was an AI voice agent capable of carrying natural, human-like conversations over the phone โ understanding patient intent, checking real-time clinic availability, and completing the booking without the patient ever feeling like they were talking to a script-reading bot.
The agent integrates directly with each clinic's calendar system to check live availability, propose appointment slots conversationally, and confirm bookings instantly. For security-sensitive actions like confirming patient identity or rescheduling existing appointments, the system uses OTP verification sent via SMS, ensuring no unauthorized changes are made to a patient's care schedule.
Every completed call automatically syncs to the clinic's CRM, logging the interaction, the outcome, and any follow-up actions needed โ giving front-desk staff full visibility into what the AI agent handled without requiring manual data entry. The result is a voice agent that handles the repetitive volume of scheduling calls at a fraction of the cost of human staff, while freeing the existing call center team to focus on complex patient needs.

How We Built It
Call Flow & Conversation Design
Mapped the most common appointment-related call scenarios โ booking, rescheduling, cancellation, general inquiries โ and designed natural conversation flows for each using OpenAI's language models.
Twilio Voice Infrastructure
Built the telephony backbone on Twilio for call routing, real-time audio streaming, and multi-clinic call distribution across the 12-location network.
Calendar & Booking Integration
Integrated live calendar systems for all 12 clinics, enabling the AI agent to check real-time availability and write confirmed bookings directly during the call.
OTP Security & CRM Sync
Built the SMS OTP verification flow for sensitive actions and the automatic CRM sync pipeline logging every call outcome, transcript, and follow-up task.
Testing, Tuning & Rollout
Ran extensive call-flow testing against real-world scenarios, tuned conversation handling based on live call data, and rolled out across all 12 clinics with continuous monitoring.
